For doctors on rotation

Never manually input your hospital rota again

Paste a link to your department's rota: a live Google Sheet, an Office 365/SharePoint link, or a plain Excel file. RotaSync finds your shifts, whatever the layout, and keeps your calendar in sync as swaps happen, leave is approved, and rotations change.

Built for doctors' rotas, and anyone else whose rota lives in a spreadsheet is welcome too.

Live demo: the spreadsheet is your department's rota, and the highlighted row is you. One sync fills your calendar, and when a swap lands on the sheet your calendar updates itself.

🔒 We never keep a copy of your rota

Live links are read fresh each time your calendar updates, and uploaded spreadsheets are parsed on the spot then discarded; the file itself is never saved. The only thing we store is your own list of shifts, so your calendar keeps working even when the rota is briefly unreachable.

How it works

Set it up once. Forget it exists.

Three steps, about ninety seconds, and you never open the rota spreadsheet again.

  1. 1

    Link your rota

Paste a Google Sheets or Office 365/SharePoint share link. Having the link shows you're on the team. Rota locked on a work computer? Upload the Excel file, or email it in.

  2. 2

    We find your shifts

Every department formats rotas differently. RotaSync maps the dates, names and shift codes on your rota's layout, finds your row, and turns your shifts into calendar events.

  3. 3

    Subscribe once

One tap adds your feed to Apple, Google or Outlook Calendar. From then on swaps, approved leave and rewrites reach your calendar on their own.

Live Calendar Sync

Set it up once. Updates automatically in real-time.

Works With Any Rota

Paste a Google Sheet or Office 365/SharePoint share link for live sync. Having the link verifies you are part of the team. Rota locked on a work computer? Upload the Excel file instead.

Auto-Layout Mapping

Rota sheets change formats constantly. Our own parsing engine automatically maps dates, names, and shift times on custom layouts, running privately on our own infrastructure. Your rota is never sent to an AI model.

One-Click Subscriptions

Instantly subscribe on Apple Calendar, Google Calendar, or Outlook with deep links. Works in real-time as your rotation proceeds.

Simple, transparent pricing

Every plan starts with a free 30-day trial, no card needed. Cancel anytime. Choose the plan that fits your rotational schedule.

Every paid plan includes

  • Rota compliance checks against doctors' safe-working limits
  • Expected pay from your own shifts: gross and take-home, on the resident doctor scales
  • Compare it with the work schedule your trust pays you on

Every plan covers up to 2 live rota links and 2 uploaded rotas, merged into one calendar feed, with unlimited updates, and live links can be swapped to new rotas whenever you need. Fair use for uploads: up to 2 different uploaded rotas in any rolling 4-month period, matching a typical rotation.

Questions users actually ask

How quickly do changes reach my calendar?

Honestly: it depends on your calendar app. RotaSync re-reads your rota whenever your calendar asks for the feed, but calendar apps poll subscribed feeds on their own schedule. Apple Calendar and Outlook typically check every few hours (and you can refresh manually), while Google Calendar's URL subscriptions can take longer. If you connect Google Calendar in the dashboard, RotaSync pushes changes into it directly, which is usually much faster. Either way you never type a shift: swaps, approved leave and rewrites flow through on their own.

Do you keep a copy of my rota?

No. Live links are read fresh each time your calendar updates, and both linked and uploaded rotas pass through a short-lived processing cache — up to 10 minutes for a link, up to 30 minutes for an upload while you finish setting it up — and are then deleted. The document itself is never added to your record. The only thing we store is your own extracted list of shifts, so your calendar keeps working even if the rota is briefly unreachable.

I'm not a doctor. Can I use RotaSync?

Yes. RotaSync is built for doctors' rotas first, and the compliance and pay features are specific to the UK resident doctor contracts. But the rota-reading engine works for anyone whose rota lives in a spreadsheet: nurses, AHPs, pharmacists and other shift workers use it too.

What rota formats and layouts work?

Google Sheets and Office 365/SharePoint share links sync live; Excel and CSV files can be uploaded, and you can email an updated file to your personal RotaSync address. Every department formats rotas differently. The parser is built for exactly that, and when a rota can't be read reliably it tells you why and how to fix it, rather than guessing.

My rota has my colleagues' names on it. Is that a problem?

Having the share link or file means your team already shares the rota with you, and you confirm it contains no confidential patient information when you link it. RotaSync extracts only your own shifts; the document is never stored, and your colleagues' names are never kept in readable form.

What happens when the free trial ends?

Nothing is charged. The 30-day trial needs no card, so there's nothing to auto-bill. Your calendar simply stops receiving new shifts until you pick a plan (from £1.99/month, or a one-off £8.99 six-month pass that isn't a subscription). Your rota links and settings are kept, so upgrading picks up right where you left off.
